How to Get Graham Court Records
No case number yet? Start at the Kansas Public Access Portal. Pick District, then Graham County. Basic public details and the Case Events list can reveal the document you need and its filing date. If the portal does not carry the item, use the courthouse terminal, or reach the Clerk of the District Court by phone, at the counter, or through the mail.
- Locate the public case and copy its complete case number.
- Name the exact item, such as a judgment, order, motion, or event printout.
- Ask whether it can be inspected online or at the courthouse terminal.
- Contact the clerk at (785) 421-3458 or visit or mail the courthouse at 410 N. Pomeroy Avenue, Suite 9, Hill City, Kansas 67642.
- Use the official KORA form for a focused written request when directed.
- Ask for a cost estimate and state whether a plain or certified copy is needed.
The clerk posts no separate local fee schedule or current counter hours online. Call ahead before you travel or place a large order.
Graham County Court Record Targets
A request for "all records about a person" is too broad and invites identity mix-ups. Name the Graham County District Court first. Add the case number if you have it. Then list the case type, the filing range, and the exact document or event. Want a judgment? Give its title and date. For a calendar record, identify the hearing date and the setting type. Include the judge or division when you know it.
The official Kansas Judicial Branch KORA request form gives you fields for all of this. You will fill in requester details, contact information, delivery preference, a specific record description, certification, a signature, and a date. Delivery can come by email, mail, pickup, or fax. It depends on what the custodian can provide.
Useful request wording: “Graham County District Court, the known case number, a public copy of the exact named document and filing date, with certification if available.”
Types of Graham Court Records
A docket sheet is only one layer of a court file. The public index identifies the case. Case Events list the chronological activity. Pleadings state the parties' claims and requests. Orders and journal entries record what the court actually did. Exhibits, transcripts, and certified copies each carry their own access and production rules.
- Public case index and case-number information
- Chronological Case Events or docket printout
- Public pleadings, motions, orders, and judgments
- Certified copies authenticated by the clerk
- Proceeding transcripts prepared through the reporter route
- Legacy paper or pre-migration files held by the clerk
Municipal files live elsewhere. Hill City Municipal Court keeps its own ordinance docket. If a Bogue or Morland citation names a city court, take the request to that city's custodian. And remember, the Graham County Clerk/Election Officer is not the Clerk of the District Court.
Graham County Court Record Documents
Finding a case online does not mean every paper is online. Kansas Supreme Court Rule 22 draws lines between these layers. One line covers public case information, public events, and public documents. Another covers terminal access and restricted material. Graham County moved to Odyssey in July 2022. Public documents created after that move may be available online. Availability still varies by record and by restriction.
| Layer | First route | What to do if absent |
|---|---|---|
| Case number and type | CaseSearch | Try the terminal or clerk. |
| Public Case Events | CaseSearch or terminal | Ask for an event printout. |
| Public document | Portal link, if shown | Request the exact copy from the clerk. |
| Certified order | Clerk | Ask about certification and cost. |
| Transcript | Clerk or reporter route | Request a quote for the named proceeding. |
The official Kansas district-court records guidance is the source for this access model.
The image reinforces the distinction between finding case information and ordering the actual record.
What a Graham Court Record Contains
What you get depends on what you ask for. A docket printout is just an index of activity; a filed order contains the court's ruling. A transcript captures the spoken proceedings, and a certified copy adds clerk authentication. Request the smallest record that meets your real need.
| Case identifier | County, court, year, type, and sequence shown by the record. |
|---|---|
| Caption | The public style or named parties, subject to restrictions. |
| Filed date | The date an item was accepted into the case record. |
| Event text | A short index label that may not contain the full document. |
| Order or judgment | The court's written ruling or disposition. |
| Certification | The clerk's authentication of the supplied copy. |
For a final outcome, trust the signed or journalized judgment, not a lone status label. One case can carry several disposition entries.
Graham County Court Records Timing
K.S.A. 45-218 requires a response as soon as possible. The deadline is the end of the third business day. That is a framework, not a promise that a large file lands in three days. The response might grant inspection or seek clarification. It might quote costs, explain a delay, or deny access with a legal basis.
Keep the request narrow so routing and redaction stay simple. For a large file, the custodian may want payment before copying begins. The form includes a staff field for estimated reproduction cost. It also carries a certification tied to K.S.A. 45-230.
Certified Graham Copies and Fees
A portal printout is not a certified copy just because it came from an official site. Certification is what authenticates the clerk's copy. Ask for the exact order or judgment and say plainly that you need it certified. Reproduction and certification may be billed as separate charges.
| Item | Graham status | Action |
|---|---|---|
| Portal search | No search fee located | Use guest basic access. |
| Plain copy | Current local fee not located | Ask the clerk for a quote. |
| Certified document | Current local fee not located | Confirm the certification charge. |
| Staff time or mailing | May apply | Request an estimate first. |
| Transcript | Local price not located | Obtain a reporter quote. |
A neighboring Kansas district does publish a $10 per-document certification reference, but that figure is not a Graham County promise. Do not send payment based on the neighboring schedule.
Graham County Court Record Transcripts
A transcript is a word-for-word record of a proceeding, prepared through the authorized reporter process. It is not a Case Events line. Printing the online docket will not produce one. When you ask, give the Graham case number and the hearing date. Add the judge, the proceeding type, and your preferred delivery.
Graham County lists no local transcript form, reporter contact, or pricing. Start with the Clerk of the District Court and ask for the proper reporter route. A quote can hinge on length, format, and timing.
Graham County Court Record E-Filing
Authorized filers can submit new cases and later documents through the state e-filing system. That system is not a public document reader. If you just need a copy of a Graham County filing, use CaseSearch, the courthouse terminal, the clerk, or a KORA request rather than an e-filer login.
The official Kansas Courts e-filing portal page shows the sign-in screen that filers encounter.
That login screen marks the line between submission access and the public channels for Graham County files.
Public Access to Graham Records
Not every Graham County court record is open. Kansas Supreme Court Rule 22 keeps a set of case types sealed. The list covers adoptions, child-in-need-of-care cases, expunged cases, grand-jury matters, some protective proceedings, juvenile documents, divorce and custody documents, certain warrant materials, and trial exhibits. So a docket index can list a case openly. A single filing inside it can still stay withheld.
Privacy rules add another layer. Rule 24 shields full birth dates, residential addresses, most digits of government and financial identifiers, minor identities, specified victim information, and other personal data. K.S.A. 45-221 recognizes its own exemptions too, and it allows partial release once the clerk lawfully redacts the protected details.
Access boundary: Preserve redactions and ask the clerk whether a public or redacted copy exists. A missing file does not prove that the record never existed.

Current clerk name, counter hours, and local fee schedule should be confirmed before an order or visit.
The online index often gives you a case number but not the filing itself. That number is what you need, and the Graham County case search supplies it, so your clerk request can be focused from the start.
